Adding Alternative Text for Images 

Alternative text (alt text) allows screen readers to describe images to visually impaired users. Every image should have alt text. 

Guidelines for Writing Alt Text: 

  • Step 1: Click on the Insert Image button in the editor toolbar!.

  • Step 2: Choose one of the following: 

    • Upload a file from your computer 

    • Insert a link to an image online

  • Step 3: A pop-up window will open prompting you to enter Alternative Text (alt text).

  • Step 4: Type a brief description of the image in the Alt Textfield
    This helps improve accessibility for screen reader users. 

  • Step 5: Click OK or Insert to add the image.

Best Practices for ALT Text
  • Describe the image’s purpose rather than just its appearance. 

  • Keep it concise - generally under 140 characters. 

  • Avoid redundant phrases like “Image of” or “Picture of.” 

    • For complex images (e.g., infographics, charts, and graphs): Provide a short alt text summary. 

    • Include a Caption: Place a detailed explanation directly below the image as a caption.

Avoiding Images of Text 

Text embedded within images is inaccessible to screen readers. Instead: 

  • Use actual text whenever possible. 

  • If an image of text is necessary, provide an alt text or long description. 

To check if an image contains readable text, try copying and pasting the text elsewhere. If it cannot be copied, it is likely an image.
